Under the direct supervision of the Site Administrator (SA) or Front Office Supervisor III, the Front Office Supervisor I is responsible for supervising the front office and medical records direct and indirect patient care activities related to efficient patient flow, positive customer relations and consistency of operations for their designated site. This responsibility includes working collaboratively with the site management team to assure patient satisfaction, employee satisfaction, improving the health status of patients, adequate provider productivity, accurate financial data capture and a safe, culturally sensitive, aesthetically appropriate environment of care. This position is responsible for supervising the input work in all organizational computer applications. The Front Office Supervisor I is responsible for the management of a GVHC site with 1-3 medical provider FTEs at one location.
ESSENTIAL DUTIES AND RESPONSIBILITIES: (The following is used as a partial description and is not restrictive as to duties required)
1. Supports, implements and fosters greater staff understanding of the Mission, Vision and Values of Golden Valley Health Centers.
2. Is responsible for the direct supervision of the front office and medical records staff to assure efficient patient flow and assures established policies and procedures and work instructions are followed.
3. Supports, implements and assures compliance with all organizations established best practices. Actively implements the organizations quality improvement projects.
4. Monitors and assures proper inputs/updates, accurate billing, and appointment scheduling in the practice management system.
5. Monitors sites Account Receivables (AR) and works together with the Billing department to assure AR is at organizations standard.
6. Responsible for the timely inputting of provider schedules and exception blocks into the practice management system.
7. Responsible for the timely submission of scantrons to the Billing department and deposits to the Finance department in accordance with policies and procedures.
8. Assures compliance and processes are followed with the electronic health record systems.
9. Monitors front office and medical records staff patient interactions to assure patient confidentiality, staff professionalism and positive customer relations.
10. Assists as the resource person for patient questions and complaints in regards to front office and medical records activities. Will refer to the SA as appropriate.
11. Collaborates with the SA and/or Front Office Supervisor III to coordinate front office and medical records activities to meet the needs of other departments. Includes appropriately scheduling of staff.
12. Trains all new and existing front office and medical records staff on proper functions of the practice management system and other computer applications, understanding and enrollment process of special programs, standardized GVHC processes, policies and procedures and work instructions.
13. Responsible for the timely completion and submission of employee evaluations and consultations in accordance with policies and procedures for front office and medical records staff. Will consult with the SA as appropriate.
14. Completes and assures timely submission of employee timesheets in accordance with policies and procedures.
15. Conducts and documents mandatory evacuation drills.
16. Assists the SA in conducting monthly site surveys and assures compliance in all areas.
17. Assists the SA in conducting clinical chart audits and assures compliance in deficient areas.
18. Responsible for proper and timely input of required data in established databases; 3rd next available, utilization, variance, cycle times, and others.
19. Purchases all office supplies needed for site per purchasing procedures.
20. Assures current and approved medical forms are available for use at site.
21. Responsible for maintaining a safe and clean work/patient care environment.
22. Acts as the primary contact for emergency situations regarding the fire alarm, security alarm and any other facility related issues at the site during and after hours and responds as necessary. Will contact the SA as appropriate.
23. Attends and assists the SA and/or Front Office Supervisor III in organizing and conducting staff meetings. Attends other meetings as required.
24. Performs other duties and/or special projects as assigned.

1. Minimum of two years experience in health care or related field
2. Supervisory experience preferred
3. Ability to supervise 1 or more employees
4. Ability to relate in a professional manner and handle confidential information
5. Ability to manage in a team environment
6. Must be organized
7. Must be able to handle multiple priorities to meet established deadlines
8. Computer literacy
9. Knowledge of medical terminology helpful
PHYSICAL REQUIREMENTS:
1. Must be able to lift up to 40 pounds and push up to 100 pounds (on wheels).
2. Must be able to hear staff on the phone and those who are served in-person, and speak clearly in order to communicate information to clients and staff.
3. Must be able to have vision that is adequate to read memos, a computer screen, personnel forms and clinical and administrative documents.
4. Must have high manual dexterity.
5. Must be able to reach above the shoulder level to work, must be able to bend, squat and sit, stand, stoop, crouching, reaching, kneeling, twisting/turning, fingering and feeling.
